As registration season approaches, Club Directors face the challenge of balancing two priorities: providing a positive experience for families while protecting the financial stability of their club.

Unexpected injuries, illnesses, or family circumstances can create difficult conversations about refunds, especially when clubs have already committed resources for the season. Offering families an optional way to help protect their registration investment can provide greater peace of mind while supporting your club’s existing registration policies.

One option many JVA clubs have adopted is Player Registration Protection by ViCoverage, powered by Vertical Insure.

How Does It Work?

During registration, families have the option to purchase Player Registration Protection as part of the checkout process.

If they purchase coverage and later experience an approved covered event that prevents their athlete from participating, they can file a claim directly with Vertical Insure.

If the claim is approved, eligible reimbursement is determined according to the unused portion of the season and the terms and conditions of the policy.

Because claims are managed directly between the family and Vertical Insure, Club Directors and Club Administrators can remain focused on serving athletes instead of managing refund requests.

What Does It Cover?

Player Registration Protection may provide reimbursement for eligible nonrefundable registration fees when an athlete is unable to continue participating because of an approved covered event, including:

  • Season-ending injuries
  • Short-term injuries
  • Season-ending illnesses
  • Short-term illnesses
  • Parent job loss
  • Parent job relocation
  • Active military duty or reassignment

Coverage begins once the policy is purchased and is subject to the policy’s terms and conditions.

Why Clubs Choose to Offer It

Player Registration Protection is designed to complement, not replace, your club’s refund policy.

Clubs that offer this optional coverage have found it can help:

  • Reduce refund requests.
  • Support consistent application of refund policies.
  • Minimize difficult conversations with families.
  • Improve the registration experience.
  • Strengthen documentation if a chargeback occurs.
  • Help protect outstanding payment plan balances, when applicable.

By giving families another option during registration, clubs can approach unexpected situations with greater consistency and confidence.

How Payment Plans Are Handled

If a family is participating in a payment plan and experiences an approved covered event before completing all scheduled payments, any remaining registration balance owed to the club is addressed first, in accordance with the policy.

Any remaining eligible reimbursement is then paid directly to the family based on the policy terms and approved claim.

This process helps protect both the club’s financial commitments and the family’s registration investment.

Clear Expectations Benefit Everyone

One of the greatest advantages of offering Player Registration Protection is transparency.

Families understand their options before completing registration, helping establish clear expectations from the beginning of the season.

When expectations are communicated early, clubs spend less time navigating refund requests and more time focused on developing athletes and creating positive volleyball experiences.
